An inventory adjustment brings the recorded quantity into line with a physical count. Enter the total you counted, review the difference, and apply the adjustment. Use ordinary receipts and deliveries for actual purchases and shipments.
1. Check the product, location, and counting time
Use this guide for an opening physical count or a verified difference between recorded and actual stock. Start in a test database with the Inventory app and an account permitted to perform stock adjustments.
For an Odoo 20 product that needs stock counts, open Inventory → Products → Products and check its configuration. The product-type documentation describes Goods with Tracking set to By Quantity, By Lots, or By Unique Serial Number. Services are not inventory-tracked goods. Earlier versions may use different labels.
- Confirm the correct product, company, location, and unit of measure.
- For tracked products, confirm the lot or serial number as well.
- Agree when the count happens so receipts and deliveries during the count can be accounted for.
- Record the reason for a real discrepancy instead of using an adjustment to hide an unexplained movement.
Stock adjustments can affect valuation under your inventory and accounting configuration. Agree the review process with the person responsible for stock and accounts before changing a live opening balance.
2. Understand Counted, On Hand, and Difference
Suppose Odoo records 24 units, but the physical count finds 22. The number to enter in Counted is 22.
On small screens, scroll the table sideways to see every column.
| Field | Value | Meaning |
|---|---|---|
| On Hand | 24 | The quantity currently recorded in Odoo. |
| Counted | 22 | The total physically present. |
| Difference | −2 | The correction Odoo will apply. |
Do not enter −2 in Counted for this example. That would describe a final quantity of negative two. Odoo calculates the difference between the recorded and counted totals.
If the physical count matches Odoo’s 24, enter 24 to record a matching count. A blank value is not the same as saying you counted zero.
3. Record the physical count
- Open Inventory → Operations → Physical Inventory.
- Find the correct product line. Check the location and lot or serial number, when those columns apply.
- Enter the actual total in Counted.
- Review Difference. In the example, it should show −2.
- Save the entry as required by the interface, then review it before applying.
The documentation notes that products without stock history do not initially appear in this list. Use New to create a line, select the product and required tracking details, and enter the counted quantity. Review the location and company before proceeding.
Expected: your count is recorded, but the on-hand quantity has not changed yet. Recording a count and applying it are separate actions.
4. Apply the adjustment with a clear reason
- Review all pending counts so you do not apply another person’s unfinished work.
- Select the intended line or lines and use Apply. Use Apply All only when every pending line is ready.
- In the Physical Inventory dialog, review the Inventory Reason and Counting Date. Enter a meaningful reference for the count.
- Click Update Quantities to complete the adjustment.
Odoo also documents a single-line Apply action. The multi-line workflow provides a place to record the adjustment reason.
If Odoo warns that stock changed since the count, reconcile the intervening movements or recount before confirming. A count from earlier in the day may be wrong after a later receipt or shipment.
Expected: for the 24-to-22 example, on-hand stock becomes 22 when no other movements occurred.
5. Check the quantity and move history
- Reopen the product or physical inventory line and verify the updated on-hand quantity.
- Open Inventory → Reporting → Moves History.
- Find the inventory adjustment by product, date, and reference.
- Check that the correction, location, and tracking details match the count.
Applying an adjustment creates a stock move for traceability. Keep the count sheet or supporting reference with your normal stock records so another person can understand the correction later.
On-hand stock and forecasted stock answer different questions. Forecasted quantities also reflect planned movements. If an order remains unavailable after a count, inspect reservations and expected receipts rather than repeatedly adjusting the same product.
6. Handle a mistaken count or adjustment
The count has not been applied
Correct the Counted value and review the recalculated Difference before applying. Verify the physical quantity again if you are unsure.
The adjustment has already been applied
Odoo 20 documents a Revert Inventory Adjustment action in Inventory → Reporting → Moves History. Select the relevant adjustment and use the action after checking it with the responsible user.
Reverting adds another history line marked [reverted]; it does not erase the original move. Review any stock movements made afterward before deciding how to correct the current balance.
The stock is at the wrong location
Check the location before changing totals. Moving stock between internal locations is a different operation from correcting a physical count. Use the appropriate transfer or authorized relocation workflow.
7. Avoid the common stock-count mistakes
- Using an adjustment instead of a receipt: process the purchase receipt when goods arrive so the purchase and stock records stay connected.
- Using an adjustment instead of a delivery: process the actual outgoing transfer when shipping an order.
- Counting the wrong unit: 10 boxes is not necessarily 10 individual units. Verify the product’s unit of measure.
- Applying every pending line: review the full selection before Apply All.
- Setting stock to zero without checking reservations: Odoo warns that this can make forecasted quantities negative and leave existing deliveries unavailable.
Use normal receipt and delivery workflows for stock movements. Reserve physical inventory adjustments for count corrections with a recorded reason.
8. Complete the stock-count checklist
- The product is configured for the required inventory tracking.
- The location, company, unit, and tracking number were checked.
- Counted contains the final physical quantity.
- The calculated difference was reviewed before applying.
- The reason and counting date are recorded.
- On-hand stock and move history match the intended correction.
- Any accounting or reservation effects were reviewed by the responsible team.
9. Frequently asked questions
Should Counted contain the difference or the total?
Enter the final total physically counted. If Odoo shows 24 and you count 22, enter 22. Odoo calculates the correction of minus two.
Why is my product missing from Physical Inventory?
Odoo documents that products without stock history do not appear initially. Check that the product is inventory-tracked and use New to record an appropriate count line when needed.
Does saving a count immediately change on-hand stock?
No. The count is recorded first. Applying the adjustment updates the quantity and creates the stock move history.
