Build an AI sales assistant that works with your CRM

A useful sales assistant helps a salesperson prepare relevant work. It should use real CRM context, distinguish suggestions from completed actions, and make review straightforward.

At a glance

Start with account summaries and editable follow-up drafts. Keep customer access, pricing authority, message approval, and CRM updates under explicit application rules.

1. Choose a specific sales task

Identify where preparation consumes time: reviewing an account before a meeting, summarizing an opportunity, or drafting a follow-up after a conversation. Define what the salesperson should receive and what information should support it.

Avoid starting with a vague promise to “increase sales.” A useful first outcome could be a concise account brief containing the current opportunity, recent authorized activity, unanswered questions, and a proposed next step. Compare the time and correction effort against the current preparation process.

2. Retrieve current CRM facts through authorized tools

Use the CRM as the source of truth for account identity, opportunity stage, ownership, and recent activity. The application should decide which records the signed-in salesperson can access. Resolve ambiguous customer names before retrieving or updating data.

Keep product descriptions, commercial policies, and approved messaging in an owned knowledge collection. A draft should not invent a customer’s budget, an agreed deadline, a discount, or a conversation that did not occur. Mark missing information as a question for the salesperson instead of turning it into personalization.

3. Make drafts traceable and editable

Show the CRM facts and relevant conversation excerpts beside the suggested follow-up. Separate an observed fact from a model’s proposed action. The salesperson should be able to revise tone, remove an unsupported claim, or discard the draft without changing a business record.

If a meeting note suggests an action, identify its source and whether the owner and deadline were actually stated. “I can look at it next week” is not automatically an approved delivery commitment. Let the user confirm the interpretation before the assistant creates a task or message.

4. Define write actions as separate operations

Sending a message, changing an opportunity stage, and creating a follow-up task are different permissions. Expose narrow operations with validated arguments and business rules. A user allowed to draft for an account may not be allowed to change its pricing or ownership.

Keep the proposed content visible at approval time. If the content changes materially after approval, obtain an appropriate new review rather than reusing a stale decision. Record the actual target-system result and use stable identifiers so a retry does not send another message or create duplicate activities.

5. Assess usefulness without inventing revenue impact

Evaluate summaries against source records: correct customer, current stage, relevant activity, and no unsupported commercial terms. Ask salespeople how much editing a follow-up needs and whether the suggested next step is appropriate. Include accounts with similar names and records the user cannot access.

During a pilot, monitor wrong-record retrieval, discarded drafts, editing effort, failed actions, and duplicate activity. Revenue and conversion rates have many influences; do not attribute a change to the assistant without a suitable measurement design. Expand only when the product reduces preparation work while preserving the team’s review standards.

6. Frequently asked questions

Can the assistant send follow-ups automatically?

It can be designed to send messages through permitted integrations, but sending should be scoped and evaluated separately from drafting. Agree on review, recipient selection, duplicate prevention, and delivery tracking.

Should we copy the CRM into a vector index?

Use live authorized lookups for facts that must be current. An index can help with knowledge documents, but it needs its own updates, access filtering, and deletion process. Do not use stale indexed data as the only record of an active opportunity.

Which CRM can it support?

Feasibility depends on available APIs, subscriptions, permissions, and the fields or actions required. Check the actual platform and version before promising a connection.
